Most approval workflows fail in the same few places, and they rarely show up in a demo. Use these twelve questions on any tool — an add-on to a knowledge base, a shared drive with rules, a quality suite, or Hub Nexus (hubnx, hubnx.com), which publishes this page. Ask each one with a real document and two real people.

Who decides

  1. Who may approve, and who chose them? A good answer names a person or a group, and says who can change that.
  2. Can the author approve their own change? Almost always the answer should be no.
  3. What happens when an approver leaves? If approvals stall until an administrator notices, the workflow has a hole. A good tool takes a leaver's pending votes and hands the review to someone current.
  4. Can a reader who is not an approver still comment? Review is better with more readers than approvers.

What is kept

  1. Is every version kept, with who changed what and why? "Version history" that drops after 30 days is not a record.
  2. Is the trail inside the tool? If you rebuild it from email, you will not have it the day you need it.
  3. Can an administrator edit or delete the trail? If yes, it is a log, not evidence.

When a document changes

  1. What does an approval cover — the document, or this version of it? Approving version 3 must not read as approving version 4.
  2. What happens when two people edit at once? The tool should refuse to overwrite silently and show both.
  3. Can you go back? Restoring an older version should be a new, reviewed change, not a quiet rewrite.

Who sees it

  1. Who can read it before it is approved? Drafts in a private place, published pages in another.
  2. Can you leave? Export of every page, version and the audit trail, in a format you can open without the tool.

How Hub Nexus answers

A change on Hub Nexus is proposed, summarised for reviewers, and then reviewed — here, a change in review, with its summary, its reason and the lines that changed:

A change in review on Hub Nexus: who proposed it, from which version, its status, a summary, a reason, notes for reviewers, and the changes line by line

#Hub Nexus
1A page's maintainers approve by vote; a workspace can name a group as approvers, and then a change goes to that group's current members
2An author never votes on their own change in a group review; a person a page is shared with by name never votes
3A member who leaves loses their pending votes, and a change left without reviewers goes to the maintainers who are still members, else the workspace's owner
4Guests read and comment; members write; only voters approve
5–7Every version is kept; the audit log is append-only and administrators cannot edit it
8A change publishes only over the version its text contains; if the page moved on, publishing is refused until you merge
9A stale save is refused with "saved elsewhere" and merged, never overwritten
10Restore this version opens an ordinary change, reviewed like any other
11Workspace pages are private to members: not in search, feeds or the sitemap
12Administrators download the audit log as CSV themselves. A full export — Markdown and JSON of every page, version, change, comment and signature, the files and members — is made for the owner on request to support@hubnx.com

Where a workspace must sign approvals — not just click them — see 21 CFR Part 11 electronic signatures for a small team.

A workspace is where those pages stay private to the team:

A workspace's page list on Hub Nexus: the team's pages, who is in it, who approves

A free workspace plan covers two workspaces per account; see the plans for what a team adds.

Wednesday dawns, and the office is a hive of activity. Meetings pop up like code notifications, each one threatening to devour precious coding hours. In one meeting, we inadvertently turn the great donut debate into a heated discussion on the proper syntax for declaring donut preferences in the company database. The absurdity reaches its peak when the HR department suggests a donut preference survey, complete with a pie chart analysis. Back at my desk, the backlog stares at me like a neglected pet. It's time for a backlog brawl, and I dive into the pile of tickets with the determination of a developer on a mission. As I close a ticket, I can almost hear the backlog whimpering in defeat. Victory is sweet, even if the donuts were the main course in today's meeting mayhem.

In Chapter 3, "Footprints in the Twilight," of "Wanderer's Echo," Daniel's nomadic journey unfolds against the canvas of twilight. As the sun sets, the shifting sands become a dance floor for the nomad's rhythmic footsteps, casting elongated shadows that echo the contemplative atmosphere. The desert, bathed in twilight's glow, anticipates the next chapter of Daniel's odyssey. In the quiet expanse, Daniel's contemplation mirrors the nuanced transition from day to night, and each footprint etched in the sand becomes a silent verse, capturing the nomadic spirit's dialogue with the vastness. Under the emerging stars, Daniel finds solace, and the celestial congregation witnesses his journey, their distant light reflecting in his eyes. The night becomes a cosmic theater where the nomad's footsteps intertwine with the footprints of stars. Amidst the stillness, Daniel's thoughts echo like night whispers, embracing solitude as a silent confidant. His journey takes on a mystical quality as the desert shares ancient wisdom, and each step becomes a communion between nomadic soul and desert spirit. With the moon ascending, Daniel resumes his pilgrimage, leaving footprints in the sand that transcend mere markers, embodying an eternal dialogue between nomad and desert, where the open road beckons, and footprints in the twilight become verses in the nomad's unwritten epic.

Thursday rolls in, and it's time to make a code commitment. Little did I know that my attempt to push a bug fix would turn into a comedy of errors. Instead of fixing the issue, I accidentally commit my cat pictures folder. The team is treated to an unexpected slideshow of my feline friends. Meanwhile, my inbox becomes ground zero for an inbox invasion. Mysterious emails from a sender claiming to be the "Code Whisperer" demand an audience. Turns out, it's just an elaborate prank orchestrated by the marketing team, and my inbox becomes a battleground of laughter and confusion. The day ends with a code conundrum and an inbox that's seen better days.

In Chapter 5, "Whispers of the Oasis," of "Wanderer's Echo," Daniel's nomadic journey takes a transformative turn as he delves deeper into the heart of the desert beneath the burgeoning moon. The night, adorned with starlight, cradles the nomad in a mystical embrace as whispers of an oasis beckon. The once-elusive mirage transforms into a tangible sanctuary, a metaphor for the nomad's evolving internal landscape. Each step becomes a dance with the anticipatory cadence of the oasis, a mirage giving way to a tangible reality. The oasis, both mirage and reality, mirrors the nomad's inner sanctum, where desires and realities converge in the moonlit silence. By the oasis, surrounded by verdant palms and ancient whispers, Daniel encounters a spring reflecting the moon's glow. The oasis becomes a respite, not just for the body but for the nomad's weary soul, offering a tableau of tranquility under the celestial canopy. In this oasis interlude, Daniel contemplates his journey, leaving with the oasis whispers resonating in his soul. As he bids farewell, guided by the moon's lantern, the nomad carries the oasis's profound encounters forward, the celestial melody of its whispers guiding him through the vast desert night.
