"Does Notion have an approval workflow?" is one of the questions teams ask when their procedures live in Notion and an auditor asks who signed off. This page answers from Notion's own help pages, read on 1 November 2026, and says where those pages are silent. It is published by Hub Nexus (hubnx, hubnx.com), which does the job differently; the last section says when each fits.

The short answer

  • The help pages I read describe no approval step — no "request review", no approver roles, no sign-off, no electronic signature. What Notion offers around it is page verification, suggested edits, version history and, on Enterprise, an audit log.
  • Page verification says "this page is up to date"; it is not a review of a change. Anyone with edit access can apply it.
  • The audit log is Enterprise only, and it does record page edits.
  • Notion's security page lists SOC 2, ISO 27001, ISMAP and BSI C5; none of it mentions 21 CFR Part 11 or electronic signatures. If your documents fall under that rule, ask Notion directly before you rely on it.

What each feature does, from Notion's pages

FeatureWhat the page saysPlan
Verified pagesA blue check mark shows a page's contents "are up to date". A page needs at least one owner; verification lasts "until a specific time or indefinitely", and the owner is notified in their inbox and by email on expiry. Anyone with edit access can verify an individual page"Business and Enterprise"
Suggested editsSomeone with "Can comment" access or above suggests an edit; the page owner accepts or rejects each oneNot stated on that page
ButtonsA button can "Show confirmation" — a confirm prompt when pressed. It is not an approvalAll plans; some actions on paid plans
Database automationsTriggers "Page added", "Property edited" and "Every {frequency}"; actions such as editing a property, sending a notification or mail, or a webhook. No approval action is listedPaid plans
Version historyA version is recorded every 10 minutes of active editing, and two minutes after the last edit. Past versions can be viewed and restored back: 7 days on Free, 30 on Plus, 90 on Business, any number on EnterpriseBy plan, as listed
Audit logEvents for pages, workspace, account and more, with filters, and a CSV export. History kept "up to 365 days". Events begin when you upgrade — earlier ones are not includedEnterprise, for organization owners

What the pages do not say

Four questions decide whether a record stands up to an auditor. For Notion, from the pages I read:

  1. Is an approval tied to one version of a page? Not stated — there is no approval to tie. Verification applies to the page and runs until its expiry or indefinitely.
  2. Can the author approve their own page? Not stated for approvals. Anyone with edit access can verify.
  3. Is there a signature — printed name, date and time, and the meaning of the signing, with a second step at the moment of signing? Not stated, and Part 11 is not mentioned on its security page.
  4. How long is the trail kept? Page history: 7, 30, 90 days or any number, by plan. Audit log: 365 days, Enterprise only. Beyond 365 days: not stated.

For a deeper checklist, see document approval workflow: twelve questions to ask before you choose a tool and 21 CFR Part 11 electronic signatures for a small team.

How Hub Nexus handles the same questions

A team's pages live in a private workspace. Every edit is a change; the approvers are the page's other maintainers or a group you name, and a change's author never approves it while anyone else can.

A change in review on Hub Nexus: the reviewers' votes, and the reasons given for requesting changes

QuestionHub Nexus
An approval — a real step?Yes: a change is requested for review, approvers vote Approve, Request changes or Reject (the last two need a reason), and a change publishes only after approval
Tied to a version?A change publishes only over the version its text was written from; if the page moved on, publishing is refused until you merge
SignatureA workspace can require signed approvals: the approver picks review, approval or responsibility and enters a code emailed at that moment; name as it was then, meaning and time are written before the vote and never changed (Quality plan)
HistoryEvery version is kept, with no retention limit
Audit logAppend-only, kept while the workspace exists, on every plan including Free, downloadable as CSV

A workspace's audit log: every consequential act with who did it and when

PlanPrice
Free$0, two workspaces, unlimited members, audit log and approver groups included
Team$10 per member a month billed yearly; single sign-on and SCIM
Quality$750 a month, up to 50 members; signed approvals

Which to use

  • Stay in Notion if you want a flexible wiki with databases, and "this page is current, and Sam owns it" is all the control you need. Verification, suggested edits and version history give you that, and an Enterprise audit log adds a trail.
  • Use a workspace for the small set of documents where a named approver must say yes to this change, the signature and its meaning must be on the record, and the log must not depend on an Enterprise plan. Keep the rest where it lives.

Wednesday dawns, and the office is a hive of activity. Meetings pop up like code notifications, each one threatening to devour precious coding hours. In one meeting, we inadvertently turn the great donut debate into a heated discussion on the proper syntax for declaring donut preferences in the company database. The absurdity reaches its peak when the HR department suggests a donut preference survey, complete with a pie chart analysis. Back at my desk, the backlog stares at me like a neglected pet. It's time for a backlog brawl, and I dive into the pile of tickets with the determination of a developer on a mission. As I close a ticket, I can almost hear the backlog whimpering in defeat. Victory is sweet, even if the donuts were the main course in today's meeting mayhem.

In Chapter 3, "Footprints in the Twilight," of "Wanderer's Echo," Daniel's nomadic journey unfolds against the canvas of twilight. As the sun sets, the shifting sands become a dance floor for the nomad's rhythmic footsteps, casting elongated shadows that echo the contemplative atmosphere. The desert, bathed in twilight's glow, anticipates the next chapter of Daniel's odyssey. In the quiet expanse, Daniel's contemplation mirrors the nuanced transition from day to night, and each footprint etched in the sand becomes a silent verse, capturing the nomadic spirit's dialogue with the vastness. Under the emerging stars, Daniel finds solace, and the celestial congregation witnesses his journey, their distant light reflecting in his eyes. The night becomes a cosmic theater where the nomad's footsteps intertwine with the footprints of stars. Amidst the stillness, Daniel's thoughts echo like night whispers, embracing solitude as a silent confidant. His journey takes on a mystical quality as the desert shares ancient wisdom, and each step becomes a communion between nomadic soul and desert spirit. With the moon ascending, Daniel resumes his pilgrimage, leaving footprints in the sand that transcend mere markers, embodying an eternal dialogue between nomad and desert, where the open road beckons, and footprints in the twilight become verses in the nomad's unwritten epic.

Thursday rolls in, and it's time to make a code commitment. Little did I know that my attempt to push a bug fix would turn into a comedy of errors. Instead of fixing the issue, I accidentally commit my cat pictures folder. The team is treated to an unexpected slideshow of my feline friends. Meanwhile, my inbox becomes ground zero for an inbox invasion. Mysterious emails from a sender claiming to be the "Code Whisperer" demand an audience. Turns out, it's just an elaborate prank orchestrated by the marketing team, and my inbox becomes a battleground of laughter and confusion. The day ends with a code conundrum and an inbox that's seen better days.

"Wanderer's Echo" unfolds as a poetic odyssey in the heart of the desert, where the nomad Daniel embarks on a journey transcending mere geography. This tale weaves the sands of self-discovery, purpose, and camaraderie, echoing through shifting dunes, shared campfires, and encounters with mirages. As Daniel's footprints mark a nomadic legacy, the narrative reveals the nomad's enduring dance with the unknown, inviting readers to explore the expansive tapestry of solitude, friendship, and the timeless echoes resonating within the vast landscapes of both the external world and the human soul.

In Chapter 5, "Whispers of the Oasis," of "Wanderer's Echo," Daniel's nomadic journey takes a transformative turn as he delves deeper into the heart of the desert beneath the burgeoning moon. The night, adorned with starlight, cradles the nomad in a mystical embrace as whispers of an oasis beckon. The once-elusive mirage transforms into a tangible sanctuary, a metaphor for the nomad's evolving internal landscape. Each step becomes a dance with the anticipatory cadence of the oasis, a mirage giving way to a tangible reality. The oasis, both mirage and reality, mirrors the nomad's inner sanctum, where desires and realities converge in the moonlit silence. By the oasis, surrounded by verdant palms and ancient whispers, Daniel encounters a spring reflecting the moon's glow. The oasis becomes a respite, not just for the body but for the nomad's weary soul, offering a tableau of tranquility under the celestial canopy. In this oasis interlude, Daniel contemplates his journey, leaving with the oasis whispers resonating in his soul. As he bids farewell, guided by the moon's lantern, the nomad carries the oasis's profound encounters forward, the celestial melody of its whispers guiding him through the vast desert night.
